Know which clients actually make you money
Agencies rarely lose money on the work they quoted. They lose it on everything that happened after, in a chat thread nobody billed for. Buzzflo keeps the conversation, the task and the hour attached to each other.
The problems this setup exists to solve
If none of these sound familiar, this preset is probably not the right starting point — and we would rather tell you that than sell you a configuration you will fight.
- Scope creep arrives as a chat message and is never tracked
- Timesheets are reconstructed on Friday from memory
- Invoices are assembled by hand from three places
- Nobody knows a project's real margin until it is finished
- Client requests get lost between the account manager and the team
How a day actually runs
Capture the request
A client message in a chat becomes a task in the project, with the sender as assignee and a permanent link back to the thread.
Log time honestly
Explicit entries with hours, date and a note. A person asserted that work happened, which is what makes the number defensible in a dispute.
Watch the margin
Contract value, logged hours and expenses roll into a profit figure per project, visible only to the owner.
Invoice from the work
Line items are drawn from tasks and hours, with anything already billed flagged so nothing is charged twice. Send as PDF, Excel or both.
Bill the retainer automatically
Mark an invoice recurring, pick the day of the month, and it sends itself with a full send log.
Built for agency & consultancy out of the box
Set up for you before you start, so the first screen your team opens already matches how they work.
The handsets, handled
Off by default for a desk-based team, and hidden from the interface entirely rather than sitting there as clutter. Available if you ever issue devices.
- Battery, storage, network and last-known position per device
- Locate, ring, sign out or refresh a device remotely
- Geofences that alert on entry and exit
- Selective wipe clears the app, never the personal phone
Agency & consultancy questions
How does scope creep get caught?
The message that requested it becomes a task in one action, so it exists in the project rather than only in the thread. When you review the project you can see the work that was never quoted.
Why manual time logs rather than a timer?
A timer measures the gap between two status changes, which counts blocked time, lunch and overnight. Those numbers do not survive a client audit. Explicit entries do.
Can clients see the project?
Not today — Buzzflo is an internal tool. You share progress by exporting or sending an invoice, and financial figures are owner-only by default so nothing sensitive leaks to the wider team.
Can we bill in more than one currency?
Yes. Income, expenses and invoices each carry a currency, and the consolidated finance report totals per currency rather than converting behind your back.

The modules behind it
Each one is a full module in its own right — this preset just decides which of them you see.
